Is anyone leaving your PTA this summer? Here are a few things to keep in mind for a happy handover.

Before standing down

  1. Recruit your successor(s)
    Establish who’s leaving and have conversations with people you think would be a good fit for the role – be clear about the responsibilities and expectations. 
  1. Organise the AGM
    It’s best practice for anyone leaving to support their committee up to the next AGM by helping to organise and attend the meeting. 
  1. Finalise your accounts
    If the Treasurer is standing down, make sure the accounts are up to date. If you have an Independent Examiner appointed, make a note of their contact details to pass on to the new committee members.

  • Constitution
  • PTA membership by Parentkind certificate and receipt 
  • Insurance documentation
  • Bank account details 
  • Charity Commission registration number and login details 
  • Gift Aid declarations and HMRC registration details 
  • Accounts
  • Meeting minutes and copies of the annual report 
  • Licences
  • Risk assessments
  • List of approved friends’ if you are a PTFA/​Friends of 
Top tip!

Store essential documents electronically if possible, follow GDPR guidelines and change passwords so only current committee members have access.

Information to share

  • Names of regular helpers 
  • Event suppliers
  • Quantities and costs (e.g. how much food you usually get/​how much you usually spend for certain activities) 
  • Fundraising initiatives, partner offers and recommended suppliers 
  • Names of local supporters 
  • Communications (e.g. email login information) 
Top tip!

Don’t forget to hand over any equipment too – make a record of who has what to ensure nothing is forgotten.
