6 weeks before 

• Set the time, date and place 

• Choose the venue 

• Decide on food and drink 

• Work out how many volunteers you’ll need 

4 weeks before

• Advertise your disco 

• Carry out health and safety paperwork 

• Create a risk assessment 

• Figure out first aid 

• Check insurance requirements 

2 weeks before

• Create a list of your volunteers 

• Confirm attendees

• Ask for song requests to ramp up the excitement 

One the day

• Check you have everything you need 

• Brief your volunteers 

• Decorate the venue 

• Set up refreshments 

After the disco

• Thank your helpers! Write to all contributors and supporters, telling them how much money their donation helped the PTA to raise. Use photos, videos and quotes (with consent) to share the feel-good factor 

• Review your risk assessment while it’s fresh in your mind
