Terms and Conditions for the Parentkind Community Support and Wellbeing Grants Programme, supported by The Guinness Partnership


Introduction

  1. These Terms and Conditions govern the administration and use of grants awarded under the Community Support and Wellbeing Grants Programme funded by The Guinness Partnership and managed by Parentkind. 
  2. The programme provides grants of up to £2000 per application to Parentkind PTA members, supporting activities, resources or facilities that enhance the educational experience of pupils, by supporting the wellbeing of pupils and/​or addressing financial hardship within our PTA members’ school communities. 
  3. By applying for and accepting a grant, the grant recipient agrees to comply with these terms.

Eligibility Criteria

  1. Applicants must be an active and paid Parentkind PTA member at the time of application and at the time of grant payment. 
  2. The PTA must be affiliated with a school located in Chesterfield, Havant, Gloucester or Milton Keynes.
  3. Applicants are expected to spend the grant funds within the 2025/2026 academic year. However, spending over a longer period can be agreed on a case-by-case basis with Parentkind — please contact us if you think you may need more time.
  4. The PTA must have a bank account in the name of the PTA. Grants cannot be paid into personal or school accounts.

Permitted Use of Grant Funds

  1. Grant funds must be used for activities, equipment, or projects that align with the programme’s focus on Community Support and Wellbeing – ensuring children within your school community have access to the essential items and opportunities they need to participate fully and thrive at school, and supporting the wellbeing of pupils.

It is the PTA Member’s responsibility to ensure that the proposed activities fit within their own constitution and are deemed an appropriate use of PTA funds, in line with each individual member’s stated objects.

Application Process

  1. All applications must be submitted via the Parentkind online grant portal by 5pm Thursday 12th June 2025. 
  2. The application must include: 
  3. PTA Membership Number 
  4. Details of the project and its beneficiaries 
  5. Total project cost and any match-funding plans (if applicable) 
  6. Confirmation of a school support letter, if required 
  7. Applications will be reviewed based on their alignment with the programme’s goals, feasibility, and impact on the school community. 
  8. Incomplete applications will not be considered. 

Grant Award and Payment

  1. Successful applicants will receive grant payments in July following approval. 
  2. All payments will be made to the PTA’s registered bank account. 
  3. If a PTA is unable to accept the grant or cannot proceed with the project, the funds must be returned to Parentkind. 
  4. Grants must be fully spent within the 2025/2026 academic year. However, spending over a longer period can be agreed on a case-by-case basis with Parentkind — please contact us if you think you may need more time.

Reporting and Monitoring

  1. All grant recipients must submit a report on how the funds were used, including: 
  2. A breakdown of expenditures 
  3. The impact on pupils and the school community 
  4. Any challenges faced or changes made to the project

Parentkind will issue a survey to capture this report. We may also issue interim surveys to capture progress data to share with our funders. 

  1. All grant recipients are requested to secure, where possible, additional feedback from parents and children impacted by the projects (Parentkind will share anonymous surveys to be shared with those audiences), and to share stories, quotes and images (with appropriate consent obtained and evidenced) to illustrate the impact of your project where possible. This is not a requirement but will aid Parentkind in securing further future support for our PTA members. 
  2. Parentkind may request receipts or evidence of spending. 
  3. Failure to provide the required reporting may impact future funding opportunities. 

Compliance and Accountability

  1. PTAs must ensure that funds are used specifically for the purposes given in the approved application. If you are unable to use the grant for the specific purpose for which it was intended, please contact the Parentkind prior to spending any portion of the award.
  2. Parentkind and The Guinness Partnership reserve the right to audit grant usage. 
  3. Any misuse of funds will require immediate repayment and may result in exclusion from future funding opportunities. 
  4. Applicants are required to supply and maintain applicable points of contact in order that Parentkind can administer and monitor use of the grant. 

Data Protection and Confidentiality

  1. Parentkind will handle personal data in accordance with the Data Protection Act 2018 and GDPR. For further details, please see Parentkind’s privacy policy here.
  2. Applicants’ information will be used solely for the grant application process and monitoring purposes. 
  3. Grant recipients must not disclose any confidential information received through the programme. 

Amendments and Termination

  1. Parentkind reserves the right to modify or withdraw the grant programme at any time. 
  2. If an applicant breaches these Terms and Conditions, Parentkind may: 

Dispute Resolution

  1. Any disputes regarding grant applications or fund usage should be directed to Parentkind’s grant team in the first instance. 
  2. Parentkind’s decision on the awarding of funds is final. 

11. Acceptance of Terms

By applying for and accepting a grant, the PTA agrees to be bound by these Terms and Conditions.
